Pilot privacy notice
ShiftSaathi is running a supervised pilot of a WhatsApp maintenance assistant with a small number of plants. This notice covers that pilot. It does not cover the local demo, which uses fictional data.
What we collect
- For people their plant enrolls: name, role, WhatsApp phone number, the messages, voice notes and photos they send, and the text we take from them (transcripts, text read from photos and readings they confirm).
- The record each report creates: incidents, work orders, repairs, parts used, and who approved what and when.
- For the plant's pilot administrator: sign-in times and a code made from the network address with a secret key, so repeated failed sign-ins can be spotted without our logs keeping the address itself. Vercel's own request logs may still record the address.
Why
To turn reports into maintenance incidents and work orders, answer from the plant's approved documents, send the work to the right person and keep a record of each shift. ShiftSaathi controls no machinery. A person always decides when a machine restarts.
Where it is kept
On one server in Amazon Web Services' Mumbai region (ap-south-1). Voice notes and photos are stored encrypted. An encrypted backup is made every day and the last seven are kept on the server. AWS also keeps daily snapshots of the server.
Who else handles it
- WhatsApp (Meta) carries the messages between phones and the pilot.
- Apify transcribes voice notes and reads text in photos. Those files are sent to Apify for that step, which runs outside India. The copies Apify holds for the run are deleted after we collect the result.
- Vercel hosts this website and passes the administrator's requests to the server. It does not store pilot records.
How long
Original voice notes and photos are deleted after the plant's retention period: 30 days unless the plant sets between 1 and 90 days. Messages, transcripts and the incident record are kept while the pilot runs and are not yet deleted automatically. Backups follow the schedule above.
Your choices
To ask what is held about you, to correct it or to have it removed, tell your plant's pilot lead or contact us using the link below. During the pilot we handle these requests by hand. Records of who approved a machine's release after a repair may be kept, because they are safety records.
